The Time Description tab is where you can customize how a technician’s work order entry appears on an invoice. This is typically used for service invoicing generated from a Project or Work Order directly.
By default, the line item description on an invoice will display the following details of the technician’s work order (the blue text represents the details taken from the work order):
Technician Name Time on Site From Date Time to Date Time
There is one field of entry on the Time Desc (tab). If that field is blank, as our illustration here, the iPoint default listed above will print. However, if you would like to customize how those time entries appear, use the Time Entry Invoice Line Description field.
- Type any verbiage you want.
- To use a Merge Field, place your cursor where you want the merge field to appear and then click the appropriate button.
In the following example, the black text is typed in and the blue text represents the merge fields.
Amazing A/V technician { Technician } visited your { Project Name } job site on { In Time Date } and was there from { In Time Stamp } – { Out Time Stamp }. Here are his notes for the job: { Clock Out Memo }
The resulting line on the invoice would read:
Amazing A/V technician Mark the Magnificent visited your Home Theater job site on 2/8/2019 and was there from 7:01:23 AM – 4:02:12 PM. Here are his notes for the job: We finished installing the television above the mantel and programmed the automation system to control the customer provided sound system. Job completed.
Merge Field Definitions:
- Work Order Reference: the work order number as generated by the software
- In Time Stamp: the timestamp when the technician clicked the Check In button on the work order
- In Time Date: the date when the technician checked in to the work order
- Out Time Stamp: the timestamp when the technician clicked the Check Out button on the work order
- Out Time Date: the date when the technician checked out of the work order
- Clock Out Memo: this is the note the tech entered on the Work Order Check Out prompt
- Technician: the name of the technician assigned to the work order
- Work Order Date Start: the date the work order was originally scheduled for (not the check in date)
- Project Name: the name of the project where the work order originated
- Project Number: the number of the project as generated by the software
- Labor Phase: the labor phase selected by the technician when they clicked the Check In button
- WO Description: the Work Order General Description field from the work order. This is usually entered by a service manager or scheduler.
