The Service Records report shows maintenance that has been completed on your company vehicles. These entries are made in the Autos module on the Service tab.

Using the settings at the top of the report, select:

  • Vehicle – chose a company vehicle from the dropdown list
  • Start Date – choose a date to show maintenance entered on or after this date
  • End Date – choose an ending date to show service complete on or before the date

The report itself shows:

  • Vehicle ID – the name of the vehicle as listed in the Autos module
  • Date – the date a user completed the service work
  • Description – what work was done
  • Payee – the name of the company where the service who completed the service
  • Service Type – what kind of maintenance was completed
  • Amount – the total amount of the transaction
  • Invoice – the invoice number from the vendor’s receipt

Options

The Options button provides the standard report generation options

  • Print – sends the report to the printer using your computer’s print dialogue
  • Email – attaches a PDF of the report to a new email using your default email program
  • Save – save the report as a PDF to your computer or network
  • Close – close the Options window

Export

Exporting the expense report into a spreadsheet program is simple, using the instructions available here: Dashboard > Exporting.

Here is a list of export field names and their associated field name on the Auto Maintenace Records screen. (e.g., field_NameField Name)

  • costInvoice Amount
  • dateOfServiceService Date
  • descriptionWork Performed field
  • invoice_NumberInvoice Number
  • recordTypeService Type dropdown selector
  • service_LocationService Location dropdown as defined in Settings > Pop Up Lists > Stop Points. Users can also create their own stop points by selecting the Other… option and manually entering text
  • AutoCashBag::autoID – the iPoint identification number for the vehicle. – not useful as an exported field
  • AutoCashBag::transactionDateService Date
  • AutoCashBag::userID – the iPoint id# for the user creating the maintenance record. – not useful as an exported field
  • Automobiles::easyNameVehicle Name as selected from the vehicle dropdown list
  • Globals::REPORTDATEFIELDS – not useful as an exported field
  • Globals::REPORTTEXTFIELDS – not useful as an exported field
  • Globals::URL – not useful as an exported field
