This window defines how various calendar functions apply to the user.

iPoint Calendar

The iPoint calendar is a powerful tool capable of showing every users’ events, work orders, and milestones. With so many details from multiple users, the calendar can become cluttered and hard to read.

As a result, a user can be assigned to a calendar group or subset of users. The calendar can then be viewed by that group/subset. Any user can be assigned up to five different user groups.
You might set up Sales and Technician groups to separate out those appointments. Or a larger company might choose to assign technicians to an AV group and/or an Electrical group to distinguish between their technical expertise.
Calendar groups are defined in Settings > Module Settings > Calendar.

View Edit Settings

By default, work orders and events in the calendar module are visible by all users. But if you want a specific user to only be able to view specific users’ calendars, you can define that here.

  1. Click in the View section to display a list of all iPoint users.
  2. Place a yellow star next to the names of the users’ calendars you want this user to be able to see.
  3. Any non-starred calendar events will not be visible to this user.

Similarly, you can grant edit capabilities to the calendar here as well.

  1. Click in the Edit section to display a list of iPoint users.
  2. Place a yellow star next to the names of the calendars you want this user to be able to edit.
  3. Unstarred calendar events will be visible (based on View settings), but the user will not be able to edit any details.

Calendar Color

The calendar can be viewed showing each individual event colored by work order status or user name. This is where you define the color associated with this user.

  1. Right-click in the Background box to open a pop-over window
  2. Select Text Color to open a color palette
  3. Choose the color you want. The color will be displayed on the calendar when it is viewed by Resource Color
    Note: Sometimes the color doesn’t populate the box and it remains black. If this is the case, left-click in the black box and type a space. Then click out of the box. Your desired color should now be able to be displayed.

If you choose a dark calendar color for the background, the black text might be hard to read. No worries! You can change the text color as well. This is the color of the font that is displayed on the colored background for the event or work order. – New in 9.1003

  1. Right-click in the Text box to open a pop-over window.

New users will have a black background and white text, by default. – New in 10.0112

  Only see own events – place a check in this box to restrict the user from seeing any calendar events other than their own. They must be listed as the technicians on a work order or a resource on an event in order to see it on their calendar.

Google Calendar

If you use Google Calendar to track your business events, iPoint can sync calendar events directly to your company’s Google account.

  1. To get started, complete the company integration with your master Google account. Directions are located in Settings > Integrations.
  2. Click the Create/Update button
  3. Enter the name of the user’s calendar as you want it to appear in the master Google Calendar
  4. iPoint will connect with Google and synchronize the iPoint user to the master Google Calendar
  5. Once authenticated, iPoint will display the Users calendar name and any new calendar items entered in iPoint will be synchronized with Google Calendar.

Should you desire to remove the Google Calendar sync link, simply click the Delete button to remove the link created above.
