Web Portal settingsWeb Portal settings

The Web Portal is used to capture customer signatures on proposals and change orders.

The email sent to a customer, with their proposal attached as a PDF document, includes a link to the online web portal. Here the customer can log in to approve, sign, and confirm the proposal or reject the proposal.

There are several setup options available to customize the Web Portal for your company.

Proposal Approval/Rejection Responses

The first tab is where automated Proposal responses are created. When the customer approves or rejects their proposal, these messages are displayed.

In the first field enter the response you want your customer to see when they approve a proposal.
Customizing the message is possible by using Merge Text from the dropdown to the right of the text box.

The second text field is the response to the customer when they reject a proposal.
The Merge Text options are available here as well.

The Copy button between the Approval and Rejection fields will copy the text from the Approval field into the Rejection field.

Note: The Merge Text {User Name} will not work as a merge field in the Web Portal. We recommend using the {Sales Rep Names} instead.

Change Order Approval/Rejection Responses

The second tab works exactly like the Proposal Approval/Rejection Responses tab, except it is for Change Orders!

Proposal Signature Space

The third tab provides customization for the signature portion of the proposal on the Web Portal.

The first text field is displayed above the signature space, while the second field is displayed below the signature.

For example, the Text Above Signature might be used to give instructions on how to sign while the Text Below Signature could be a legal description of what the customer is signing. And just like the approval/rejection section, you can use Merge Text fields to personalize the information displayed.

CO Signature Space

There is no surprise here. The final tab here is where the text above and below the signature line on Change Orders is set. And just like the previous sections, the text can include Merge Text fields to customize the customer’s Web Portal experience.
